Digital Signage

The Office of College Relations & Marketing (OCRM) and ACCTV manage the digital signage displayed on flat-screen TVs at each ACC campus. These slides are updated weekly to inform students, faculty, and staff about important events and deadlines.

Deadline to submit slides: Friday at 8 a.m. for the following Monday or your desired run week.

Slides must conform to ACC’s digital signage rules and meet the following requirements:

  • Slides must be JPG or PNG format, 1920 x 1080 pixels in a horizontal orientation.
  • Use the following naming convention: eventorslidename_semester_year.png or .jpg
  • Text must be 30 words or fewer and readable from 10 feet away.
  • Text must meet ACC style guidelines.
  • Slide must have a call to action such as “JOIN US” or “RSVP HERE.”
  • Include pertinent event info (event name, date, time, place), with either a contact email, or a shortened URL (bitly or tinyurl), or a QR Code.
  • All QR codes must also have an accompanying written-out URL for accessibility.
  • Use contrasting text and background colors.
  • Include an approved department logo. Follow logo usage guidelines for all logos.
  • Only two slides can be submitted at one time.
  • Only ACC departments or organizations; no personal or non-ACC signs permitted.
  • ACC will run only two slides per department or organization each week.
  • Slides that do not meet these requirements will not be displayed.

Slide Examples Dos and Don’ts

The following slides are examples of slide dos and dont’s. The slide on the left is an example of an effective slide with clear font use, brief text, effective logo use, and a clear call to action.

DO DO NOT
Use easy to read fonts that are legible from 10 feet away, with contrasting text and background colors. Forget to include all pertinent event info (date, time, location).
Be concise: Use fewer than 30 words. Put paragraphs of text on a slide.
Include approved department logos.     Use an unofficial department logo.
Add a call to action and use an email, or a shortened URL or QR code. Forget to proofread slide text for typos or grammatical errors.

Preparing and Submitting Your Slide

The following best practices will help you design slides that are most likely to be approved by OCRM and have the best chance of reaching your intended audience.

Designing your slide

  • Follow the requirements above. They are meant to maximize the impact of your messaging. 
  • Proofread your slide. Have someone else read it.
  • Make sure your image is jpg or png – no other file formats can be submitted. 
  • Make sure your text conforms to ACC style guidelines
  • Use fonts with easy readability. Hard to read fonts will cause your slide to be denied.
  • Use a URL shortener, and don’t forget to include a URL if you are using a QR code.

Understand the digital signage processes

Deadline for submitting a slide is Friday at 8 a.m. for the following Monday or for your desired run week. The sooner you submit your slide, the more time you have for revisions and resubmitting. 

OCRM and ACCTV are responsible for reviewing all submissions and approving or sending them back for revisions. We are not responsible for editing your slides.

Digital signage playlists are updated every Monday. Slides can run for up to 3 weeks or until the event is past. Depending on the event, we can rerun slides if needed.

Final steps

  • Proofread your slide before submitting. Read the text out loud to confirm it is clear and readable within 15 seconds.
  • Submit slides early to allow time for any needed revisions. If you do not hear from us, assume your slide is approved.
  • Slides are displayed for three weeks, or until the advertised event has occurred, whichever comes first.

Frequently Asked Questions

What happens when I submit my slide?

An OCRM staff member reviews each slide to ensure that it meets signage requirements. If approved, the slide is added to the slide run for the following Monday. 

What happens if my slide is rejected?

OCRM will provide you with a list of reasons the slide was rejected. It’s up to you to remake the slide and resubmit.

Can OCRM fix the slide for me?

Unfortunately, no. We receive upwards of 50 submissions each week. It’s best to submit early in the week so you have time to remake the slide if necessary. You may submit a Marketing Service Request for assistance which will be subject to our project timeline.

Can I submit a slide after the Friday 8 a.m. deadline for the following Monday?

Unfortunately, no. The slide run is built on Friday for posting on Monday.
